The Waitlist is your group of patients who are open to the possibility of attending their appointment earlier, should a time slot open up. When a patient is added to the waitlist, they will be included in the database for filling Appointment Gaps.
When booking appointments - either through the Timeline or the Quick Action - you are given the opportunity to add your patient to the waitlist.
In the Timeline, the Waitlist is at the bottom of the sidebar, under the second tab. (see image below)
The Add to Waitlist tick-box is ticked by default to ensure that you use this opportunity to ask the patient whether they would like to be added to the waitlist and what their availabilities are.
The data you collect here will create a database of patients to select from when filling in gaps in the day.
Untick waitlist: If the patient is adamant about their appointment and does not want to be waitlisted, you can turn this function off.
Date from: The date that they will are available to be booked in for appointments.
Date to: The date of their appointment.
Time from/to: If the patient can only make it from/to a certain time, select that time from the drop-down list.
Selecting days: Tick the days the patient is available.
Appointment urgency: This is an important field in assessing the appointment's level of priority so please choose the most appropriate option from the drop-down list: low, medium & high.
Additional comments: Write down some notes in the comments box regarding the reason for the parameters of the patient's availability.
This patient is now in your waitlist and is included in the database of the Appointment Gaps workflow.
