The Recalls system helps your practice stay connected with patients and keep your appointment books full — automatically.

Once Recalls are set up, you’ll always know when patients are due for their next visit, and you can use this information to send targeted reminders or include patients in Marketing Campaigns to boost engagement:

Why Recalls Matter

Benefit

What it means for you

Keep patients on track

View each patient’s recall status in their profile and in reports.

Automate patient reminders

Send recall messages automatically through Marketing Campaigns.

Grow your practice

Use recall data to re-engage overdue patients and fill your schedule.

Setting Up Recalls

1. Open Recall Settings

  • Go to Settings in the main menu.

  • Under Brand, select General.

  • Scroll down to Recall Settings and click Edit Recall Settings.

2. Set a Default Recall Period

  • Choose the default recall interval (e.g., every 6 or 12 months).

  • This period is used for patients who don’t have a personalised recall schedule.

3. Select Recall Treatments

  • Choose which treatments count as a recall visit.

  • These define when a patient’s last recall occurred and when their next one is due.

4. Apply Recall Dates to Existing Patients

This step is essential — without it, patients won’t have their next recall due date set.

Principle will always update recall periods for any patient using the default recall period.

You can then choose how to apply recall due dates in bulk using these options:

Option

What it does

When to use it

Add next due date for patients missing them

Calculates a due date for patients who don’t currently have one.

Use this the first time you enable Recalls.

Update next due date for patients that had them set automatically

Refreshes due dates for patients whose recall was automatically generated by the system.

Use this when updating your recall rules or intervals.

Override next due date for patients that had them set manually

Replaces manually entered recall dates.

Use only if you want to reset all recall dates to match the new settings.

Note: Running this step ensures all your patients have an accurate recall schedule - and that your Marketing Campaigns can automatically target patients who are due or overdue for a visit.

Click Save when done.

5. Review Recall Information

Once recall settings are active, each patient’s profile will display:

  • Their last recall date

  • Their next recall due date

  • Their recall interval

You can update, recalculate or override recall details anytime:

Using Recalls in Marketing Campaigns

With recalls configured, you can:

  • Automatically include due or overdue patients in your Marketing Campaigns.

  • Send personalised recall reminders by email or SMS.

  • Track results and measure how recall campaigns improve patient retention and appointment flow.
