Document Templates are used in a variety of places within Principle to speed up communication. They can be used when sending an SMS or email to patients or specialists, or when creating documents such as referral letters or medical certificates. Document Templates utilise Variables which can pre-fill patient or appointment details when used.
Types of Templates
System Templates
System templates allow you to edit the way documents print with headers and footers as well as the text accompanying Invoice SMS or emails.
Automation Templates
When you create an Automated Notification, the content of the text in the message will also be created as a Document Template under the Automation Templates heading.
These are handy if you need to manually send out a message that is usually automated.
Document Templates
When creating Document Templates you need to set a Scope. The Scope will dictate which variables are available to use in the body of text within the Template. You can see in the image below that we have some Templates with scope set to:
None: These will not have any variables available and so will just be static text, they can be sent to anyone.
Patient: These will have all the Patient variables available and can be sent to any Patient.
Appointment: These will have both Patient and Appointment variables available and can only be sent to Patients who have an appointment booked.
Create a new Document Template
Under the Templates heading click Create Template.
Next type in the name of the document template.
Select Plain Text for SMS and HTML for an email under Type.
The editor functions will only appear for the HTML option:
Select the appropriate Scope depending on the types of variables needed within the document template: This will determine where this template can be used.
Use the Editor to write the content of the Template.
Use variables within the text where you want them replaced with patient-specific information. E.g. Use {{patientFirstName}} to insert the name of whomever the document is sent to each time. A list of which variables are available depending on the scope you set can always be found at the bottom of the editor:
Click Preview at the bottom right of the editor to view the message as the receiver would, with variables replaced.

Variables for each Document Template Type
These are the variables that can be inserted into your document depending on the Scope. Some scopes will include variables from other scopes as well. For example, every Appointment has a patient associated with it, therefor the Appointment Scope will also include the Patient variables.
