Setting Up Automated Tasks

Creating, Editing and Deleting Automated Tasks

Tasks such as internal jobs or reminders can either be generated when any Appointment is created or booked or they can be configured to be generated for specific Treatments.

For example:

Tasks can be configured to first check on a certain condition before creation. For Example: If the Patient has 'X' Tag > Then create this Task

Examples:

  • Fabricate Whitening trays - 2 hours before whitening treatment.

  • Patient TLC check-in - 1 day after extraction treatment

  • Call to confirm - 1 day before if appointment unconfirmed.

To Set Up Automated Tasks

For all Appointments

  1. In the main menu click Settings then find the Brands heading.

  2. Find Automation Configurations.

    Remember these tasks will be associated with ALL appointments

  3. Click Add Task

For Specific Treatments

Treatment Specific Automations are set up from within the Treatment itself.

  1. Navigate to Settings > (Brand) Treatments

  2. Find the Treatment you want to add a task to and click on it to open.

  3. Find the Generated Tasks section and click to expand.

  4. Click Create Task:

Automation Timing

  1. Enter the Name of this Task.

  2. Choose whether this Automation is created Based on a Schedule or if it is made
    Immediately. IMPORTANT: Automations marked Immediately will be created as soon as an appointment is created or booked.

  3. If Based on a Schedule is selected, choose the timing of this task. Tasks can be set to be created either before or after the appointment is carried out.

  4. If you would like the task to be generated at a particular time of day, enter the time here. For example, in the image above, we have set the Task to be generated at 9am the day before the appointment.

Automation Conditions

Tasks can be configured so that they first check on a specific Condition before sending. For example: You may want a task generated for your Front of House staff to chase down any appointments which haven't been confirmed:

In the example above we have set the Condition: Appointment not Confirmed.

So this Task will only be generated for those appointments that aren't yet confirmed at 9am the day before the appointment.

Task Configuration

Under Task Configuration:

  • Set the Assignee of the Task. This can be an individual or a Team.

  • Set the Priority of the Task.

  • Describe the Task or add any comments.

Click Save to save the Automated Task.

Edit or Delete Your Task

  1. In the main menu click Settings then find the Brands heading.

  2. Find Automation Configurations

  3. Under either Appointment or Treatment subheadings, scroll down to find the currently configured Tasks.

  4. Each Task has options to Enable/Disable, Edit, and Delete.
