Fee Schedules

Creating and applying the right fee schedules

Fee Schedules are a list of prices that shows the cost of each item code applied on any given treatment.

Note: You will need the required permissions to view and edit Fee-Schedules. If you don't see Fee Schedules in the Settings Menu, contact your admin to add the permission to your role.

Principle includes both the Child Dental Benefits Schedule (CDBS) and the Department of Veterans Affairs (DVA) schedule and will automatically update the prices for these two schedules according to the fee schedule set by the regulating government body.

You can create as many Fee-Schedules as you need and they can be created at Workspace, Practice, and Personal 'levels'.

Fee-Schedule 'Levels'

In Principle, Fee-Schedules can be created at various 'Levels' depending on the setup of your business and practice.

Fee Schedules created at the Workspace level will be visible to all users in all practices in your workspace. For most single-practices accounts, the Workspace level will suffice.

For businesses with multiple practices with different pricing, Fee Schedules can be set at the Practice level.

You can also create Personal Fee Schedules which will only be visible to your login.

Create a Fee Schedule

  1. Navigate to Settings > Workspace > Fee Schedule.

  2. Click Create Fee Schedule.

  3. Fill in the Name and Service Item Type.

  4. Optional: Choose a Fee Schedule to Inherit From.

    If you select an existing Fee Schedule to inherit from, the new fee schedule's pricing will be copied from the selected schedule. These prices will be 'synced' (i.e. Changes made to the 'parent' schedule will be copied across to the 'child' schedule) unless the price is changed manually in the 'child' schedule.

    For example: If a certain Health Fund had the same pricing as an existing schedule except for one or two item codes; we could create a new schedule, inherit from the schedule that had the nearly identical pricing, and then just change the prices of the items that were different.

  5. Click Create.

Use the Search bar to find a specific treatment by name or item code.

There are three Pricing Types for each item code:

Type

Definition

Example

Flat

Each ADA code is charged per use. This is the standard way of charging fees.

Tiered

Each item code will be charged based on how many ADA codes are performed overall. This is useful when the initial treatment is a certain price, but subsequent uses of the ADA code are at a discounted rate.

A 311 where there is a step down fee for each subsequent tooth removal or part(s) thereof:

  • 1 unit: $120

  • 2 & above: $90

In this example, if 3x 311s where performed, the total would be

$120 + $90 + $90 = $300.

Stair-step

The price of the ADA code is dependent on how many teeth are affected in the treatment, not the number of times the ADA code is used.

721 is priced based on the number of teeth involved in the treatment. In this case there may be pricing brackets for 1, 2, 3, 4, 5 - 9, and 10 - 12 teeth where:

  • 1 tooth: $300

  • 2 teeth: $400

  • 3 teeth: $450

  • 4 teeth: $500

  • 5 - 9 teeth: $600

  • 10 - 12 teeth: $700

In this example, if 6 teeth were involved, the total would be $600.

When you choose Stair Step or Tiered pricing, you'll also need to choose the scope (per tooth or per quadrant) and the Unit (none or per tooth).

6. Update all necessary item codes for this Fee Schedule.

7. On the bottom of the page, click Save.

Applying a Fee Schedule to a Treatment

Fee schedules can be set during time of booking or during the In-Appointment workflow.

Find the treatment within the appointment and locate the Fee Schedule Button as shown below:

The item codes and prices within that treatment will automatically update to the new schedule.

Setting a Patients Default Fee Schedule

You can set a patients default fee schedule so that it gets applied to all of their appointments.

  1. Navigate to the Patient's profile and find the Edit button:

  2. Find the Preferred Fee Schedule box:

  3. Make a Selection.
