How to Roster Staff

Creating and Editing Staff Roster

In order to be able to book appointments with a practitioner, you will have to set up their roster. Setting the roster for a practitioner creates appointment availability during the selected days and shift hours. Once a practitioner's days and hours have been set, it will reoccur weekly.

Navigating to a practitioner's roster

Firstly, the practitioner will have to be added as a User to the organisation's Principle workspace before they will appear as a Staff member. Once they are a user, you can add or edit their roster.

  1. In the Main Menu find the Operations heading.

  2. Click Staff.

  3. Click on the name of the practitioner

  4. In the Profile tab of the practitioner's page, on the left-hand column, click on the Roster tab.

  5. Here you will be able to add or edit a Roster, Break or Pre-block Schedule.

Add/edit roster

  1. Click the pencil icon next to the existing roster schedule OR click Add Roster button to create a new roster.

  2. Choose the default start and end times. This will be applied to all the selected days unless overwritten.

  3. Tick all the days that the practitioner will be available.

  4. Click the 'Save' button.

Add/edit breaks

  1. Click the pencil icon next to the existing break schedule OR click the down arrow next to the blue 'Add Roster Schedule' button and select 'Break Schedule.'

  2. Choose the default start and end times. This will be applied to all the selected days unless overwritten.

    3.Select Blocking Event so appointments are not booked in at the same time as the break.

Add/edit Pre-block schedule

  1. Click the pencil icon next to the existing pre-blocking schedule OR click the down arrow next to the blue 'Add Roster Schedule' button and select 'Break Schedule.'

  2. Name your pre-blocking schedule such as 'Production,' and select how frequent the schedule should appear. (weekly, every 2, 3 or 4 weeks)

  3. Select the pre-block start and end time, as well as the start date and an optional end date.

  4. Click save.

Extending rostered hours

If a practitioner is working outside of their normal rostered days/shifts, you can extend their hours by going into the Timeline.

  1. Find the date where the hours will be extended

  2. Click on the Practitioners photo/icon

  3. Click 'Edit Today's Roster'

  4. Update the Start/Edit times or their roster

  5. OR select Add to create pre-blocks, breaks or miscellaneous events

  6. Name the event, then select the type of event you are creating under the 'Event Type' field.

  7. Don't forget to tick 'Blocking Event' so other events or appointments do not get booked over this event.

  8. Click create.

Add an additional roster for a different practice location

Additional rosters can be created if a practitioner works at multiple practice locations.

  1. Within the Profile tab of the practitioner's page, on the left-hand column, click on the Roster tab.

  2. Click Add Roster located in the top-right corner of the page.

  3. Follow the instructions as above in 'Add/edit roster' with the new location selected.
