Taking notes during phone calls

You can record the calls you've made to a patient particularly while you're filling gaps or doing your Follow Ups by following the Phone Prompts.

First, call the patient using your phone as normal.

You can record notes from either the Receptionist Dashboard or through the Patient Profile.

Receptionist Dashboard

1) Click into the Receptionist Dashboard section of the menu.

2) Go to the date of the patient's appointment, if not today, you can select the date from the calendar icon.

3) Head over to a patient's appointment and click on the three vertical dots on the right side of the appointment to open up the menu.

4) Click Call and the prompt will appear.

5) If you were not able to get in-touch with the patient select on of the following options:

  • Left message

  • No answer

  • Not available

  • Will return our call

6) Write down any relevant notes to the call in the 'Call Notes' box.

7) Click Save Notes. The notes get saved onto the Patient Profile

The Patient Profile

1) At the top of any page, click into the Search bar and start typing in the name of the patient and select their profile.

2) In the Contacts Box, Click Call and the prompt will appear.

3) If you were not able to get in-touch with the patient select on of the following options:

  • Left message

  • No answer

  • Not available

  • Will return our call

4) Write down any relevant notes to the call in the 'Call Notes' box.

5) Click Save Notes.

Searching Notes

You can search for all phone conversation notes in the Patient Profile. Click on the phone icon in the interaction timeline and all notes related to phone calls will appear.
