Using the Receptionist Dashboard

Using the dashboard to check in and check out patients.

The Receptionist Dashboard displays all the patients attending the practice on any given day and is useful for tracking the flow of patients through your practice.

You can use the Receptionist Dashboard to complete necessary patient actions such as: check in, check out, phone/SMS communication, note taking, and other important actions described below.

Date display

The Receptionist Dashboard will display either today's date or whatever date range was selected previously on the timeline. Clicking the Home icon will return you to today.

You can also choose multiple dates by:

  1. Click into the calendar icon on top left of Receptionist Dashboard.

  2. Click into the mini calendar icon on the right of the date selector.

  3. Choose your start date.

  4. Then click your end date.

Statuses

The Receptionist Dashboard organises the days patients and keeps track of where they are throughout their appointment.

Expected Arrivals

These are all the patients expected to come in on that day.

Waiting

These are the patients who have been checked in and are currently in your waiting room. When they are ready, the practitioner will click start appointment and the patient's status will move into the Expected Departures section.

Expected Departures

These are the patients currently in surgery.

Once the practitioner adds in their notes and completes the appointment, the receptionist can check out the patient. When the receptionists clicks check out, they are able to complete any outstanding tasks on the patient checklist, schedule their next appointment, and process payment. After these have been completed, the patient will move to Done.

Done
These are all the patients who have completed their appointment and have left the practice on that day.

Treatment Categories/Colours

The colour on the left side of the appointment line represents the appointment type. This is the colour the appointment will have on the timeline.

Information available in the Receptionist Dashboard:

Each appointment can be expanded by clicking on it to see details about the patient and the treatment they are booked in for:

When expanded, the appointment card displays:

  1. Appointment Not Confirmed Alert.

  2. The Treatment the patient is booked in for.

  3. Access to Clinical, Social, and Scheduling Notes.

  4. Patient Details, including photo and personal details: age, birthdate, gender, account balance, and any medical alerts.

  5. Any Automations related to the appointment such as notifications and tasks will be listed here.

  6. View or add any Tags to the appointment.

  7. Pre or Post-appointment Checklists.

Actions you can complete from Receptionist Dashboard:

  • Check In Patients

  • Check Out Patients including scheduling next appointment, check out checklist, and taking payments

  • Navigate to Patient's Profile

  • Navigate to timeline (where appointment is displayed)

  • Call, Email or SMS your patient

  • Type in Scheduling notes

  • Confirm or Reschedule the appointment

  • View Automations

  • View Waiting list settings (Add to waiting list)

  • Add to the Checkout list

  • Update the appointment duration (make it longer or shorter)

  • Cancel the appointment.

The Receptionist Dashboard compliments the Timeline by providing a concise view of every patients journey through your practice, alongside all the tools needed check them in and out.
