Checking in a Patient

You can check in a patient either through the Timeline or through the Receptionist Dashboard


Preparing for Patient's Arrival / Morning Huddle

Clicking into the appointment from either the Timeline or the Receptionist Dashboard will open up an appointment card.


If you click on the Timeline, you'll see a condensed version of the above.

The card contains:

  1. Appointment name and treatment plan

  2. Notes

    1. Social notes: This is a great opportunity to display excellent customer service. You can write anything that makes the patient special such as "prefers soda water on arrival." So that you can ask them as soon as they walk into the practice.

    2. Scheduling notes: Any scheduling information about that specific appointment - such as if it's been cancelled, rescheduled, etc

    3. Clinical notes: Medical notes that the clinicians have written previously

  3. Automations: automatic SMS, emails or tasks that were created in relation to the appointment

  4. Outstanding Invoice information (if any)

  5. Tags (if any)

  6. Patient's personal details: Name, age, gender, phone, address & last visit

  7. Allergies or Medical Alerts (if any)

  8. Date & Time of Appointment

  9. Location (Practice name)

  10. Practitioners and patients attending appointment

Checking in your patient using the Timeline

Click on Timeline either from the main menu or on the top right corner of the Receptionist dashboard.

1) Click into the appointment

2) The appointment card will open up on the right hand side. Read through for patient information, notes, or any medical alerts.

3) Click Check In Patient on the top right corner.

4) Complete any outstanding items on the Check-in Checklist. You and the patient must complete these tasks before their appointment.

Checking in your patient using Receptionist Dashboard

Patients will appear on the Receptionist Dashboard on the date of their appointment.

Their status will be under 'Expected Arrivals.'

You can predict the next patient walking into the practice by looking at the this section. Expected Arrivals are organised from earliest to latest appointment.

In the appointment line, you can see the

  • Time of appointment

  • Patient photo Use this to identify the patient as they walk in.

  • Name

  • Appointment type

When you click into the the appointment line, you'll be able to see the appointment card as per above.

1) When the patient arrives, click Check In on the bottom left side of the appointment card OR on the right side of the appointment line.

2) Complete any outstanding items on the Check-in Checklist. You and the patient must complete these tasks before their appointment.

3) You can choose to notify the dentist that the patient has arrived by clicking the Notify the dentist button.

4) Once all items on the Checklist have been completed, the receptionist can now click Complete Check In.

5) The appointment will move into the 'Expected Departures' section while the patient is having treatment.

Reversing check in status

If you need to reverse the patient's check in status, click on the 3 vertical dots in the appointment line and choose revert check in. This will cancel the patient's check in status and move them back into the Expected Arrivals section of the Receptionist Dashboard.
