Gathering Information for a Morning Huddle

Including appointment card tour

During the Morning Huddle, the dentist, OHT/Hygienists, a front office team member and a dental assistant will go through all of the appointments for the day and review all of the medical and dental details of each patient.

Find information for the Morning Huddle by seeing the patients that the practitoner is booked in with in their Practitioner's Profile.

1) Under the Operations heading in the Main Menu, click Staff.

2) Type the name of the practitioner in the search bar and click onto their name.

3) This will take you to their profile, where you will see the appointments for the day.

4) Click into each appointment line to open up the Appointment Card.

Appointment Card Details

  1. Practitioner's profile picture

  2. Appointment Details

    1. Time

    2. Duration

    3. Appointment Status filters through:

      1. due time for example due in 1 hour

      2. checking in

      3. ready for appointment

      4. ready for check out

  3. Patient profile picture, patient name & appointment name

  4. Alert icon (owes money, hasn't confirmed appointment etc only shows if applicable),
    Start Appointment button, and
    ​3 dot menu

  5. Alert (only shows if applicable)

  6. Appointment name and treatment step

  7. Notes

    1. Social Notes: review the patient's in-appointment preferences, special life events, or personal notes

    2. Scheduling Notes: review any specific dental concerns the patient has mentioned when they booked their appointment

    3. Clinical Notes: review the patient's history of clinical notes

  8. Automated actions related to the appointment type that are set to go out

  9. Appointment tags: indicates if there is special equipment needed for the appointment or any other important information related to the appointment

  10. Patient's profile photo

  11. A snapshot of the Patient's details: see the patient's name, age, DOB, gender and their last dental visit

  12. Medical history alert: indicates whether a medical history is available or what the patient is allergic to.

  13. Appointment date and time

  14. Practice where the appointment will take place.

  15. Appointment participants

  16. Appointment actions: Start appointment, Open appointment, Complete appointment.

You will be able to see more patient-specific information from the patient's profile, such as their:

  • Profile: review the patient's details, who they were referred by, any upcoming appointments, associated tasks and lab jobs

  • Interaction Timeline: filter through any patient, appointment, communication, payment, task, lab job interactions the patient has had with the practice

  • Account History: review any outstanding invoices

  • Medical History: review the patient's medical history

  • Charting History: see the patient's dental history

  • Appointment History: see the patient's appointment history since becoming a patient at the practice

  • Treatment Plans: refer back to treatment plans previously issued to the patient and flag future treatment opportunities

  • Automations: view whether follow-up tasks/SMS/emails have been completed

  • Documents: view referral letters, specialist letters, prescriptions and other documents created within Principle

  • Files: view any uploaded documents, referral letters, specialist letters, x-rays, photos and consent forms

To navigate to the Patient's Profile, click on the '3 dots' in the top-right corner of the appointment card and the menu will appear, then select 'Patient Profile'.

This information will help you to prepare for the patient's appointment.
