Creating an Automated Task or SMS/Email In-Appointment or at Checkout

Personalised automated actions during an appointment

Automations are tasks or notifications (SMS/email) that can be triggered immediately, before, or after an appointment. Automations can be configured for all appointments, specific treatments, or from the Checkout tab of the In-Appointment workflow.

Tasks or Notifications added here will go out as scheduled without having to leave the in-appointment workflow. These automations will be in addition to any automations already configured to the appointment type. You can view and manage automations through the patient's profile.

To Add a Task

Click task then fill out the following fields:

  • Title: Label the task and use '@' to mention relevant patients, staff, contact or labs.

  • Assignee: Assign who will be responsible for completing this task. You can choose an individual staff member or a team.

  • Priority: Select from low, medium or high priority.

  • When to trigger task:

    • First, select the unit: minutes, hours, days, weeks, months, years.

    • Then type in a number in the amount line.

    • Finally, in the direction line, select when the task will be triggered: immediately, before or after.

      E.g. 1 day after, 2 weeks before, 3 days after.

  • Comments: Optionally write any other details in the comments box.

  • Click 'Save' to add task.

Example:

Patient would like a phone call to check that they arrived home safely. Patient is elderly and lives alone.

Add Notifications

Click add notification then fill out the following fields:

  • Name: Label the automated notification. The patient will not see this.

  • Type: Select if you want this notification to be sent as an SMS or email.

  • When to trigger task:

    • First, select the unit: minutes, hours, days, weeks, months, years.

    • Then type in a number in the amount line.

    • Finally, in the direction line, select when the task will be triggered: immediately, before or after.

      E.g. 1 day after, 2 weeks before, 3 days after.

  • Subject: Write an opening line or call-to-action for the patient to see if an Email.

  • Template: Write the message of what you want to send to the patient.

  • Template Variables: Copy and paste template variables in the message such as Patient Name, Appointment Time etc. (see image above for example)

  • Click 'Save' to add notification.
