The In-appointment Workflow

The in-appointment workflow involves:

  • Pre-Appointment Work (including morning huddles)

  • Pre-clinical discussions and evaluation (patient concerns)

  • Clinical Evaluation & Charting, including radiography and photography

  • Initial Treatment planning based on problems identified (or cosmetic requirements)

  • Post Exam Discussions (Patient Education & Treatment Proposal)

  • Next visits setup

  • Post-appointment work (if required)

The sections in the Principle in-appointment workflow are:

Accessing the in-appointment workflow:

  1. Firstly, the receptionist must check in the patient for their appointment.

  2. You can start the appointment once the appointment has been Checked In, from the Practitioner's Dashboard in the main menu.

  3. Click on the appointment line to reveal the appointment card.

  4. On the bottom-left corner of the appointment card, click Start Appointment.

  5. You will be taken to the patient's appointment.

Charting tab

The appointment will open in the charting tab. This is where you will perform the clinical examination or periodontal examination, chart the patient's current condition and flag treatment options to resolve current conditions.

You can also complete actions such as creating a new task, lab job, or add to the checkout checklist through the in-appointment workflow.

Images tab

The Images tab is where you can view the patient's existing files as well as continue to upload photographs and x-rays during the in-appointment workflow.

Treatment Planning tab

The Treatment Planning tab is where you will create a new treatment plan. All the flagged treatment options you've previously charted in the charting tab can be organised into a treatment plan that the patient can agree to.

You can break down your treatment plan into appointments and drag-and-drop flagged treatment options into appointment steps. You can also move extra treatments into today's appointment over on the right column.

Complete tab

The Complete tab is the final part of the in-appointment workflow. It involves finalising the appointment and preparing for handover to the reception/front office team.

The sections within the Complete tab are:

  • Check-out Checklist

  • Automated Actions

  • Next Visits

Section 1: Check-out Checklist

If the practitioner requires the front office team to action a task for the patient during check-out, they can communicate to the front office team by adding items to the check-out checklist.

To add an item/s to the check-out checklist:

  • Click onto the 'Add Item' line.

  • Write the description of the task you would like the front office team to complete.

  • Click the '+' icon and the item will be added.

  • To move on from the section, click 'Next'.

  • To delete the item, click on the 'rubbish bin icon'.

Section 2: Automated Actions

Automated actions are Tasks or Notifications (SMS or email) that can be triggered immediately on/before/after an appointment. The Tasks or Notifications that you add here will automatically go out as you have arranged without having to leave the in-appointment workflow. These automations will be in addition to any automations already configured to the appointment type. You can view and manage automations through the patient's profile.

Section 3: Next Visits

You'll be able to communicate with the Front Office team the next appointments that you'd like the patient to book in for. Appointments will be automatically created from the Treatment Plan, and a card similar to the below image will generate, where the Treatment name and duration will be pre-filled.

You can optionally include how many days from the current appointment that you'd like the patient to book in for.

Now the appointment is complete, and the patient can begin the Checkout process at Reception.
